We are seeking a proactive and highly organised Executive Assistant to act as a strategic partner to our CEO. This role goes beyond traditional administration, offering the right candidate the opportunity to influence executive operations and contribute to business success.
Your Role:
As Executive Assistant, you will manage a wide range of responsibilities including administration, secretarial duties, event coordination, and support for international operations. You will act as the CEO’s trusted liaison and ensure smooth communication across the organisation.
Key Responsibilities:
Executive & Administrative Support:
Manage the CEO’s calendar, meetings, and correspondence.
Coordinate local and international travel arrangements for the CEO and company delegates.
Oversee purchasing authorisation and invoice processes.
Assist in developing administrative policies and practices for the organisation.
Secretarial & Communication Duties:
Screen calls, emails, and visitors, ensuring timely responses.
Maintain contracts, SLAs, property documents, and other critical records.
Prepare presentations, agendas, and board reports.
Take minutes and track follow-ups from meetings.
Insurance & Imports Management:
Oversee vehicle and other insurance policies, including claims.
Manage import documentation and Forex transactions in coordination with Finance.
Reconcile financial transactions with bank statements.
Event Planning & Coordination:
Organise company events, Indabas, and large-scale gatherings.
Ensure all logistical and catering arrangements are efficiently managed.
Self-Development & Growth:
Continuously assess your skills and work to improve areas of development.
Perform additional tasks as required by management.
Requirements:
Clear criminal record
Grade 12 certificate
Diploma in Legal Secretarial / Paralegal studies
Minimum 5 years’ experience in a similar role
Experience in the manufacturing industry preferred
Skills & Competencies:
Excellent organisational, administrative, and leadership skills
Strong written and verbal communication in English & Afrikaans
High emotional intelligence and interpersonal skills
Proficient in Microsoft Office Suite and office management practices
Knowledge of import processes and Forex management
