Position: Registry Clerk: Supply Chain Management

Requirements
- Senior Certificate/Grade 12.
- Knowledge of:
- Records and document management.
- File plans, mail, and courier service procedures.
- Promotion of Access to Information Act (PAIA).
- National Archives and Records Service Act (NARSA).
- Electronic Document and Records Management System (EDRMS).
- Skills: Planning and organising, communication (verbal & written), problem-solving, customer care, client orientation, computer literacy, liaison, analysis, interpersonal relations, and telephone etiquette.
- Attributes: Accuracy, confidence, leadership ability, teamwork, independence, and ability to work under pressure.
Duties
- Receive mail from the Post Office and internal clients; open, stamp, sort, and record it in the register.
- Receive hand-delivered parcels and record them accordingly.
- Provide courier services: package documents, prepare envelopes, record outgoing mail, and manage mail registers.
- File and retrieve documents for both on-site and off-site storage.
- Manage the movement and access of files; ensure proper indexing, scanning, faxing, and photocopying.
- Reload the franking machine, register priority mail, process invoices, and forward them to finance.
- Supply files to officials, maintain records of files opened, and follow up on unreturned files.
- Issue reference numbers in line with the approved file plan.
- Handle client enquiries and assist in the absence of the supervisor.
- Perform other administrative duties as assigned by the supervisor.
