About the Role
Autism Clinic London, a private medical practice specializing in autism assessments, is seeking an Administration Officer to join its Durban-based support team.
The clinic operates from Harley Street and Paddington, London, and provides private and trust-based services.
This role is ideal for an organized, detail-oriented individual with strong administrative skills, excellent communication, and a passion for supporting high-quality patient care.
Key Responsibilities
- Schedule appointments for patients and consultants through online booking systems.
- Liaise with clinicians via email, WhatsApp, and phone to manage availability for assessments (Physical, PDI, ADOS, Feedback).
- Handle inbound and outbound patient calls for appointment bookings.
- Maintain accurate patient and school information records.
- Monitor and respond to emails and queries promptly.
- Manage Google Sheets for private and trust patients.
- Track clinician reports, due dates, and compliance documentation.
- Conduct monthly invoice checks and report data to the Managing Director.
- Book patients via the Harley Street portal and follow up on clinician report completion.
- Prepare and format final patient reports.
- Record and manage incidents and meeting minutes (MDT and general meetings).
- Ensure all correspondence and documents are handled professionally and securely.
- Support general administrative and compliance functions across the practice.
Qualifications & Skills
- Matric (Grade 12) essential.
- Tertiary qualification in administration or related field is advantageous.
- Minimum 5 years’ administrative experience, with at least 2 years in a medical setting (public or private).
- Proficiency in Microsoft Outlook, Word, Excel, and Google Sheets.
- Excellent command of English (spoken and written).
- Professional telephone manner and strong interpersonal skills.
- Highly organized, with the ability to multi-task, prioritize, and meet deadlines.
- Able to work independently while contributing effectively to a small, dedicated team.
- Strong attention to detail, accountability, and commitment to quality.
Work Conditions
- Hours: Monday to Friday, 9:00 am – 6:00 pm (UK time).
- Based in Durban North, with reliable commuting ability.
- Must have a stable internet connection for remote work.
- Primarily office-based, with the possibility of hybrid work arrangements in the future.
Compensation
- Salary: R12,000 – R15,000 per month (depending on experience).
- Permanent, full-time employment.
