Job Summary:
Virago Recruitment is seeking a highly organized and proactive Personal Assistant & Office Administrator to ensure smooth daily operations and provide administrative support to the Managing Director (MD). The ideal candidate will be a dependable, detail-oriented individual who enjoys creating order, solving problems, and maintaining an efficient office environment.
Key Responsibilities:
Office Administration:
- Oversee daily office operations, supplies, and maintenance.
- Manage stock levels, service providers, and ensure the office is ready for the day’s activities.
- Maintain and update the office manual and contact cards.
Diary & Travel Management:
- Coordinate and manage the MD’s diary, appointments, and travel arrangements.
Event Coordination:
- Assist with the planning and execution of annual events, meetings, and functions, including supplier coordination.
Security & Facilities:
- Manage office security systems, access control, and visitor arrangements.
Financial Support:
- Process and scan invoices, manage petty cash, and assist the bookkeeper with ad hoc financial tasks.
General Assistance:
- Serve as the go-to person for resolving issues—whether it’s a power outage, supply shortages, or last-minute requests.
- Perform errands, collect items, and assist with deliveries or client gifts as needed.
Domestic Staff Management:
- Supervise two domestic staff members and provide weekly task lists.
- Coordinate supply requirements with the MD.
Administrative Duties:
- Maintain and update the media representative contact list and business cards.
- Use your own vehicle for office errands, collections, and deliveries.
- Occasionally assist after hours during busy periods such as event preparation or project deadlines.

Requirements:
- 1–3 years of experience in office administration or as a PA
- Own vehicle and valid driver’s license (required for errands)
- Strong Excel skills (used for status reports and tracking)
- Familiarity with Facebook for occasional company posts
- Excellent command of English (written and spoken)
- Comfortable working in a fast-paced, professional setting
Salary: R9 000 – R10 000 per month
