Office: Minister: Land Reform and Rural Development
Location: Pretoria, Gauteng
Salary: R228 321 per annum (Level 05)
Requirements:
A Grade 12 Certificate is required.
Knowledge: Understanding of registry procedures and practices, data capturing, and computer operations. Familiarity with the legislative framework governing the Public Service, as well as document storage and retrieval processes.
Skills: Strong planning and organisational abilities, computer literacy, effective written and verbal communication, interpersonal skills, flexibility, and teamwork.
Key Responsibilities:
- Provide registry counter support by assisting clients and managing telephonic and in-person enquiries.
- Handle incoming and outgoing correspondence, including receiving, sorting, registering, and dispatching mail.
- Distribute notices and communications related to registry operations.
- Maintain an efficient filing and record management system, including opening and closing files according to the classification system.
- Manage filing, storage, tracing (manual and electronic), and document retrieval.
- Operate office equipment used for registry functions, including maintaining the franking machine register.
- Frank mail, record postage expenses, and perform regular spot checks to prevent misuse.
- Secure outgoing mail and coordinate its delivery to the Post Office.
- Manage the remittance register, recording and securely handling valuable articles.
- Deliver remittances to the Finance section and return incorrect ones via registered post.
- Maintain daily records of franked mail.
- Process files for archiving and disposal, including electronic scanning, sorting, packaging, and compiling archive lists for submission.
- Keep detailed records of all archived documents.

Knowledge: Understanding of registry duties, procedures, and practices; ability to capture data and operate a computer. Sound knowledge of the legislative framework governing the Public Service, as well as document storage and retrieval procedures relevant to a registry environment.

Key Responsibilities:

- Complete and maintain index cards for all files.
- Operate office machinery relevant to registry functions, including managing and updating the franking machine register.
- Frank mail, record postage details, and perform spot checks to ensure no personal items are included.
- Secure and prepare outgoing mail for collection and delivery to the Post Office.
- Maintain and update the remittance register, recording and safely handling all valuable articles.
- Deliver remittances to Finance, return incorrect ones via registered post, and record references in the register.
- Keep daily records of franked mail.
- Process and prepare documents for archiving or disposal, including scanning, sorting, packaging, and listing files for archival submission.
- Maintain comprehensive records of all archived materials.
