Overview:

Our client is seeking a meticulous and well-organised Import Administrator to join their dynamic team in the international procurement and distribution sector.
This role involves overseeing the complete import process, from order placement to final delivery, while ensuring compliance with SARS regulations and customs requirements.

The successful candidate will possess strong administrative and coordination skills, excellent communication abilities, and a sound understanding of international shipping and logistics.


Key Responsibilities:

Purchasing & Order Processing

  • Prepare and process purchase orders with international suppliers.
  • Track and update ETDs (Estimated Times of Departure) and internal schedules.
  • Maintain clear and consistent communication with suppliers on order progress.

Import Documentation & Invoicing

  • Review supplier invoices and packing lists for accuracy.
  • Ensure all documentation meets customs clearance standards.

Freight & Clearing Coordination

  • Liaise with clearing agents and freight forwarders in a timely manner.
  • Interpret and act on container reports for planning purposes.
  • Issue precise and prompt clearing instructions.
  • Assist with delivery scheduling based on container arrivals.

Warehouse & Receiving

  • Share packing lists and shipment details with warehouse staff.
  • Process Goods Received Vouchers (GRVs) and manage stock costing.
  • Update internal systems and records upon receipt of goods.

Internal Sales Support

  • Process import-related internal sales orders.
  • Track and coordinate deliveries of imported stock for internal departments.

Filing & Administration

  • Maintain an organised filing system (digital and hard copy).
  • Archive import documentation in line with company policy.

Skills & Competencies:

  • High accuracy and attention to detail.
  • Strong administrative and record-keeping skills.
  • Excellent time management and organisational abilities.
  • Effective communication (verbal and written).
  • Strong problem-solving and follow-up capabilities.
  • Ability to coordinate between suppliers, freight agents, and internal teams.
  • Proficient in MS Excel and familiar with import costing and GRV processes.

Minimum Requirements:

  • Matric (Grade 12).
  • Proven experience in imports, shipping, or procurement administration.
  • Solid understanding of customs clearance and SARS procedures.
  • Proficiency in MS Office, particularly Excel.
  • Excellent communication and coordination skills.
  • Ability to manage multiple priorities under pressure.
  • Experience with PPE products will be an advantage.
