RECORDS CLERK: INFORMATION AND MANAGEMENT (REF NO: S067/2025) – X2 POSTS
Division: Corporate Services (CS)
Purpose: To maintain and update the records management system, track file movements, and handle all information with the highest level of confidentiality.
Salary: R228 321 per annum (Excluding benefits)
Centre: Pretoria
Requirements:
A Grade 12 certificate is required, along with a certification in Office Administration. A minimum of one (1) year of experience in an office administration or similar environment is essential. Candidates must be proficient in Microsoft Office applications and willing to perform physical duties related to the role.
Duties:
- Registry Services:
- Open new files and volumes as needed.
- Retrieve and issue files to clients, ensuring proper record updates upon return.
- Receive and record returned files in the records database before returning them to storage.
- Conduct periodic clean-ups to ensure all files are accounted for and properly stored.
- Bulk Scanning and Indexing:
- Update and maintain the file scanning register.
- Prepare files before and after scanning.
- Digitise physical files by scanning and converting them into text-searchable PDF format.
- Upload scanned documents into the Electronic Document Management System (EDMS).
- Index files according to the prescribed metadata standards.
- File Disposal:
- Work with the Records Manager to identify files eligible for disposal.
- Compile a list of files due for disposal and, upon approval, move them to the disposal area.
- Records Store Access Control:
- Ensure storeroom keys are securely managed.
- Oversee the cleanliness and maintenance of record storage areas.
- Supervise pest control measures within storage facilities.
- Manage and monitor access to records stores.
