Records Clerk: Information and Management (Ref No: S067/2025) – X2 Posts
Division: Corporate Services (CS)
Location: Pretoria
Salary: R228 321 per annum (excluding benefits)


Purpose

To update and maintain the department’s records management systems, ensure accurate tracking of all file movements, and handle information with the highest level of confidentiality and discretion.


Requirements

  • Grade 12 (Matric) qualification.
  • Certificate in Office Administration.
  • Minimum of 1 year’s experience in office administration or a related environment.
  • Proficiency in Microsoft Office applications.
  • Ability and willingness to perform physical tasks as required.

Key Responsibilities

1. Registry Services

  • Open new files and volumes as needed.
  • Retrieve and issue files to clients, ensuring all movements are recorded.
  • Receive and return files, updating the records database accordingly.
  • Conduct regular clean-ups to ensure all files are accounted for and properly stored.

2. Bulk Scanning and Indexing

  • Maintain and update the file scanning register.
  • Prepare files for scanning, conduct scanning, and convert files to text-searchable PDF format.
  • Upload and index files on the Electronic Document Management System (EDMS) in line with metadata requirements.

3. File Disposal Management

  • Liaise with the Records Manager to identify files for disposal.
  • Compile and maintain lists of files due for disposal.
  • Upon approval, move and manage files in the designated disposal area.

4. Records Store Control

  • Maintain security of storeroom keys and manage controlled access to records storage areas.
  • Oversee cleaning and pest control of storage facilities.
  • Ensure all records storage areas are properly maintained and secured.
