Requirements

  • NQF Level 4 / Grade 12.
  • No prior experience required.
  • Knowledge of registry functions, record-keeping practices, data capturing, and basic computer operations.
  • Understanding of the legislative framework governing the Public Service.
  • Familiarity with storage and retrieval procedures relevant to the working environment.
  • Skills: Computer literacy (MS Office), planning and organizing, strong verbal and written communication, and good interpersonal skills.
  • Attributes: Decisive, quality-driven, innovative, team-oriented, customer-focused, adaptable, action-driven, and aware of diversity.

Duties

  • Registry counter services: Receive, register, sort, and file documents systematically to ensure easy retrieval; assist internal and external clients with inquiries; submit WP1002 forms to the GEPF satellite office; and retrieve files for auditors within the required SLA.
  • Correspondence handling: Manage incoming and outgoing correspondence, track and trace files, and transfer/collect files for officials across government departments.
  • Filing and records management: Store files numerically, open and close files according to the approved classification system, and maintain efficient record-keeping practices.
  • Archiving and disposal: Retrieve and prepare files for archiving/disposal in line with the National Archives Act; maintain accurate records of archived and transferred files.
  • Reporting and document processing: Use computer systems, printers, and MS Word to compile monthly reports; make copies, scan, and digitize documents; and maintain updated records of all archived and transferred files.

Important Application Instructions

  • Applications must be submitted on the new Z83 form (available at any Public Service Department or at www.dpsa.gov.za/documents).
  • Only the following documents are required for both manual and online applications:
    • A fully completed and signed Z83 form (all sections A–D must be fully completed; page 2 must be signed).
    • An updated, comprehensive CV with detailed personal information, duties, experience, and references.
  • Ensure the correct position title and reference number are indicated on the Z83 form.
  • For Sections E, F, and G of the Z83, applicants may state “refer to CV” due to limited space.
    • However, the question in Part F regarding conditions preventing reappointment must be answered, and the declaration must be signed.
  • Do not attach copies of qualifications at the application stage. Only shortlisted candidates will be required to submit certified copies of qualifications and supporting documents.
  • Non–South African citizens or permanent residents with foreign qualifications must provide a SAQA evaluation report (only when shortlisted).
  • Failure to provide the required information will result in the application being disqualified.
  • Shortlisted candidates must attend interviews as scheduled by the Gauteng Department of e-Government.
  • Appointment is subject to successful completion of employment checks, including:
    security clearance, vetting, qualification and citizenship verification, financial/asset checks, previous employment verification, and criminal record checks. Successful candidates must obtain a positive security clearance.
  • Late applications and applications that do not meet the requirements will not be considered.
  • Shortlisted applicants will complete a pre-entry practical assessment to determine suitability for the role.

For Senior Management Service (SMS) Applicants

  • SMS applicants must complete the SMS Pre-Entry Programme offered by the National School of Government (NSG).
  • No appointment will be made without proof of completing the pre-entry certificate.
  • The course, Certificate for Entry into the SMS, is available on the NSG website: www.thensg.gov.za.
  • Recommended candidates will also undergo the compulsory SMS competency assessment as required by the DPSA.
