Job Purpose
To support the Manager of the Geochem Admin Department by effectively managing administrative functions within the division and maintaining clear communication with customers.
Key Responsibilities
- Print and email test reports.
- Prepare invoices for completed work according to agreed pricing.
- Provide general administrative support such as filing, copying, creating custom report templates, performing reconciliations, and updating spreadsheets.
- Track outstanding work and follow up with the laboratory on expected reporting timelines.
- Support the Section Manager with contract reviews and proposal preparation.
- Handle and coordinate customer enquiries and queries.
- Capture data and enter results into SLIM G6 as required.
- Assist with general laboratory duties when aligned with qualifications.
- Maintain a clean and organised work environment.
- Adhere to all health and safety regulations.
- Maintain confidentiality in all relevant communications.
- Comply with the laboratory’s quality management system (ISO17025 and SANAS).
- Follow all SGS management system quality and safety procedures.
- Perform any reasonable tasks assigned by the direct line manager.
- Participate in Operational Integrity initiatives and campaigns.
- Apply the “Check Status” process and exercise Stop Work Authority when risks are unclear or uncontrolled.
Qualifications
Education
- Grade 12 / Matric or N3 with Mathematics and Science, OR sufficient relevant experience recognized through RPL.
- A National Diploma in Analytical Chemistry is an advantage.
Experience
- At least 3 years of administrative experience.
- Proficient in Microsoft Office.
- Laboratory experience is beneficial.
