Administration Clerk: Support (PAIA Unit)

Salary: R228 321 per annum

Minimum Educational Qualification:
- Senior Certificate (or equivalent)
Experience:
- Appropriate experience in administration and clerical functions
- Relevant experience in PAIA (Promotion of Access to Information Act) administration
- Experience in Records Management
Inherent Job Requirements:
- A valid driver’s licence
Competencies (Knowledge/Skills):
- Ability to interpret and implement records management policies, acts, and guidelines
- Proficiency in Electronic Document and Records Management Systems (EDRMS) such as SharePoint, Enterprise Content Management (ECM), and automation tools
- Advanced computer literacy (MS Office Suite, SharePoint, ECM)
- Strong attention to detail and organisational skills
- Ability to work under pressure and meet tight deadlines
- Excellent communication, interpersonal, and customer care skills
- Ability to maintain confidentiality and professionalism
- Networking abilities
Key Duties and Responsibilities:
- Provide high-level administrative and secretarial support to the PAIA Administrator
- Assist clients in navigating the PAIA application process correctly
- Use EDRMS systems (e.g., ECM, SharePoint) to manage PAIA request workflows
- Screen incoming PAIA requests for procedural correctness
- Maintain an accurate and up-to-date PAIA request register
- Source and retrieve departmental records to fulfil PAIA requests
- File and maintain all PAIA records and correspondence per policy
- Monitor and report on the progress of PAIA requests (weekly, monthly, and quarterly reports)
- Provide feedback and statistical support to the supervisor
