Requirements:
A Grade 12 Certificate (NQF Level 4) or equivalent qualification. No prior experience is required. Training in asset management, codification, or procurement will be an added advantage.
Skills and Competencies:
- Proficiency in English (both written and verbal).
- Good telephone etiquette and typing skills.
- Strong communication, analytical, and problem-solving abilities.
- Excellent interpersonal and organisational skills.
- Reliability, initiative, and attention to detail.
- Computer literacy with proficiency in MS Office applications.
- Basic numeracy and knowledge of relevant policies, procedures, and practices.
- Familiarity with DOD policies, Standard Operating Procedures (SOPs), and directives.
Duties:
The successful candidate will provide administrative and clerical support related to the control, management, and safekeeping of logistical documentation, ensuring compliance with confidentiality, security, and audit standards.
Key responsibilities include:
- Allocating document identification numbers and controlling revision levels.
- Managing computer file references and capturing data into the logistics database.
- Administering the document release process and overseeing the secure destruction of obsolete classified documents.
- Assisting with physical record audits and maintaining distribution registers.
- Managing access to and distribution of classified documents and ensuring their safe return upon project completion.
- Implementing and maintaining proper filing and document tracking systems.
- Monitoring document movements and maintaining accurate records.
- Supporting the implementation of an efficient document control system.
- Promoting operational efficiency by maintaining the integrity and availability of all logistical documentation.
This position requires attention to detail, adherence to established procedures, and the ability to manage multiple administrative tasks within a logistics environment.
