Administration Clerk (Supply Chain Management) – Ref No: 141125/20

Requirements:
- Senior Certificate/Grade 12 or equivalent qualification.
- One (1) to two (2) years of experience in Supply Chain Management (logistics) will be an added advantage.
- Possession of a valid and unexpired driver’s licence will be an added advantage.
- Computer literacy in MS Word, Excel, PowerPoint, and Outlook.
- Knowledge of financial operating systems (SAP).
- Understanding of the legislative framework governing the public service.
- Familiarity with administrative procedures and the working environment.
- Strong interpersonal skills, flexibility, and teamwork.

Duties:
- Provide logistics and inventory management support.
- Assist with demand and acquisition processes.
- Deliver logistical and administrative support services.
- Administer and process purchase orders.
- Manage goods receipt processes for acquired goods and services.
- Receive and verify goods from suppliers.
- Capture goods and service receipt vouchers.
- Check and issue stock to relevant components.
- Conduct stocktaking and manage warehouse stock.
- Maintain and manage the 0–9 file system.
- Expedite and report on open purchase orders (commitments).
- Compile disclosure reports on commitments.
- Perform other administrative duties as assigned by the supervisor.

- Assist in compiling and maintaining records according to Supply Chain Management (SCM) prescripts, including procurement batches and bid documents.
- Receive and process requests for goods and services from end users.
- Capture specifications on the electronic purchasing system.
- Request and obtain quotations.
- Place purchase orders and manage bid documentation.
- Provide secretarial and logistical support during bid specification and evaluation meetings.
- Compile and draft various documents as required.
- Perform any other administrative tasks as assigned by the supervisor.

Requirements:

- Previous work experience will be an added advantage.

- Knowledge of clerical functions, data capturing, and administrative processes.
- Understanding of PFMA (Public Finance Management Act) and related administrative procedures.

Duties:
- Ensure effective implementation and compliance with transport management directives, policies, and procedures.
- Process and administer new applications for subsidised vehicles.
- Coordinate adjudication committee activities related to subsidised vehicles.
- Conduct inspections, monitor utilisation and maintenance, and process related claims for subsidised vehicles.
- Manage and oversee departmental fleet operations.
- Handle authorisations, monitor vehicle operations, and process traffic fines.
- Administer transport-related invoices and compile monthly transport reports.
- Conduct quality assurance on subsidised vehicle log sheets.
- Maintain an efficient filing system and keep updated registers and databases for tracking transport documents.
- Liaise with service providers and regional offices on transport management matters.
- Provide advisory support to officials and management on transport-related issues.
- Handle accident reports and assist with transport meetings.
- Perform driver and other administrative support duties as required.
