Administrative Assistant – Johannesburg

We are looking for a highly organized and efficient Administrative Assistant to support our executive and operational teams. The successful candidate will be proactive, detail-oriented, and able to handle multiple tasks in a fast-paced office environment.

Salary: R15,000 – R20,000 per month.

Key Responsibilities

Financial Administration:

  • Process and reconcile sales invoices, purchase orders, and staff expense claims.
  • Act as the first point of contact for routine Accounts Payable and Accounts Receivable queries.

Logistics Coordination:

  • Coordinate the delivery and scheduling of cleaning systems and chemical products across the region.
  • Communicate with courier partners, track shipments, and maintain accurate inventory records.

Front Office Management:

  • Professionally manage high-volume incoming calls and emails.
  • Handle client communication regarding service schedules, product demonstrations, and general enquiries.

Executive Support:

  • Assist the executive team with diary management, meeting arrangements, minute taking, and preparing confidential documents and presentations.

Office Operations:

  • Manage office supplies, ensure office equipment is operational, and maintain both digital and physical filing systems.

Qualifications & Requirements

  • Proven experience in an administrative support role, ideally within manufacturing, logistics, or a technical service environment.
  • Strong organizational skills with excellent attention to detail.
  • Proficiency in Microsoft Office (Word, Excel, Outlook) and the ability to learn CRM and inventory management systems quickly.
  • Excellent verbal and written communication skills with the ability to interact professionally with clients, suppliers, and internal staff.
  • Ability to work independently, prioritize tasks, and meet deadlines with minimal supervision.
