Purpose of the Role

The Warehouse Assistant/Driver is essential in ensuring smooth warehouse operations. The role focuses on the accurate receiving, handling, storage, and dispatch of goods, while also managing deliveries to and from suppliers or customers. Maintaining safety, accuracy, and efficiency throughout all warehouse activities is key.


Key Responsibilities

Receiving

  • Determine the source of incoming shipments (branch, customer, supplier) and identify the type of order (customer return, transfer, local order, international order).
  • Place received stock into the correct warehouse storage locations.
  • Report any shortages, over-supplies, or damaged items to supervisors and Procurement (if supplier-related).
  • Record discrepancies on the required documentation and submit reports daily.
  • Follow up on discrepancies to ensure they are resolved within five days.

Storage

  • Store stock in the correct designated areas.
  • Package items to minimize damage during storage or transportation, following company policies and health & safety standards.
  • Ensure safe loading and unloading of goods.

Order Fulfilment

  • Remove damaged items from shelves and escalate to stock control for the appropriate process.
  • Confirm shipment details, including destination and type of order (customer, replacement, transfer, local, or international).
  • Coordinate daily tasks to maintain delivery commitments, working closely with other departments.

Packaging

  • Package goods securely and professionally to prevent damage and maintain company image.
  • Label all loose or unmarked items according to SOP.

Dispatch

  • Coordinate deliveries efficiently to meet company timelines and budget.
  • Manage transport quotes and ensure timely shipments.
  • Scan all previous day’s PODs before close of business.
  • Verify accuracy of delivery addresses and contact details before dispatch.
  • Confirm necessary delivery equipment with the dispatch controller.

Documentation

  • Verify quantities and condition of items picked; report discrepancies to the supervisor and stock controller.
  • File all documents according to SOP.
  • Ensure every document includes signatures from both the issuing and receiving parties.

Health & Safety

  • Apply and enforce warehouse and transport safety procedures.
  • Perform routine safety inspections and address potential risks.
  • Coordinate safety training and maintain valid certifications (forklift, reach truck, driver’s license, first aid, etc.).
  • Conduct pre-trip and post-trip vehicle checks.
  • Operate company vehicles safely and legally.

Systems & Computer Skills

  • Intermediate proficiency in Windows and Microsoft Office.

Minimum Requirements

  • Matric / NQF Level 4
  • At least 2 years’ warehouse experience
  • Minimum 2 years’ delivery experience
  • 2+ years in fleet or contract management
  • Code 10 driver’s licence
  • Valid forklift licence
