Position Overview

The Programme Assistant is based in the UNFPA Country Office in Pretoria and provides administrative, operational, and technical support to the Programmes Unit. Working under the guidance of the UNFPA Representative and reporting directly to the Assistant Representative, the role supports programme design, implementation, research, and data analysis within UNFPA South Africa’s engagement and solution-centred operating model.

This position plays a key role in ensuring the effective coordination and delivery of UNFPA’s country programme by supporting reporting, knowledge management, logistics, and operational processes.

Role Purpose

The Programme Assistant provides essential administrative and operational support to the Programmes Unit, ensuring smooth implementation of programme activities. The role contributes through coordination, reporting, data management, research assistance, logistics support, and financial and procurement administration, enabling the team to focus on strategic programme delivery.

Key Responsibilities

Programme Support

  • Assist with the preparation of programme work plans, budgets, proposals, and reports
  • Capture and update programme data in UNFPA ERP systems (Quantum and Quantum Plus)
  • Monitor programme implementation and expenditure against approved plans and budgets
  • Maintain accurate partner and project files in line with UNFPA guidelines
  • Coordinate logistics for workshops, meetings, missions, and field visits
  • Support communication with implementing partners, government counterparts, and stakeholders

Research and Knowledge Management

  • Conduct research and data collection to support reports, briefs, and technical documents
  • Draft summaries, presentations, event reports, and meeting minutes
  • Maintain electronic records, mailing lists, and knowledge-sharing platforms
  • Support documentation, archiving, and institutional knowledge management

Operational and Financial Support

  • Support procurement and financial processes, including requisitions, purchase orders, and payments
  • Ensure compliance with UNFPA financial rules, regulations, and procedures
  • Produce monthly financial and expenditure reports
  • Maintain inventory of programme assets and equipment
  • Draft and respond to programme-related correspondence

General Duties

  • Provide backup support to programme team members when required
  • Perform additional tasks as assigned by UNFPA management

Qualifications and Experience

Education:

  • Completed secondary (high school) education is required
  • A first-level university degree in SRHR, public health, project/programme management, or a related social science field is an advantage

Experience:

  • Minimum of 5 years’ relevant experience in SRHR or development-related fields
  • Experience in programme or project management within NGOs, CBOs, private sector, or international organisations
  • Prior UN system experience is an advantage

Skills:

  • Strong organisational, interpersonal, and communication skills
  • Proficiency in MS Word, Excel, PowerPoint, and ERP systems
  • Strong writing, reporting, and data management abilities
  • Ability to work collaboratively in a team environment

Language Requirements

  • Fluency in written and spoken English is required
  • Working knowledge of one or more South African official languages is an advantage
  • Knowledge of another UN official language is an asset
