Salary: R228 321 per annum (Level 05)
Centre: Office of the Chief Registrar of Deeds, Gauteng (Pretoria)

Requirements
Applicants must be in possession of a Grade 12 (Matric) certificate or an equivalent relevant qualification. No prior work experience is required.

The ideal candidate should have knowledge of registry functions and practices, data capturing, and computer operations. A working understanding of the legislative framework governing the Public Service is essential, as well as knowledge of storage and retrieval procedures within a registry environment. Candidates should demonstrate planning and organisational skills, computer literacy, language proficiency, good verbal and written communication skills, sound interpersonal relations, flexibility, and the ability to work effectively in a team.

Key Duties and Responsibilities

  • Manage registry operations to ensure planned outcomes are achieved
  • Provide registry counter services and assist clients
  • Attend to telephonic and other enquiries
  • Receive, register, sort, and dispatch incoming and outgoing mail and files
  • Handle correspondence and distribute notices related to registry matters
  • Maintain an effective filing and records management system
  • Open and close files in accordance with the record classification system
  • File, store, trace, and retrieve documents and files manually and electronically
  • Complete and maintain index cards for all files
  • Operate office equipment related to registry functions
  • Manage the franking machine, including recording and updating daily transactions
  • Conduct spot checks on mail to ensure no private items are included
  • Secure mail for delivery to the Post Office
  • Maintain the remittance register and record all valuable items
  • Hand over remittances to finance and obtain acknowledgment
  • Return incorrect remittances to senders via registered post and record reference numbers
  • Keep daily records of franked mail
  • Prepare documents for archiving and/or disposal
  • Perform electronic scanning of files
  • Sort, package, and compile lists of documents for archiving and submit to the supervisor
  • Maintain records of archived documents
