Requirements

  • Grade 12 certificate.
  • Exposure to Records Management and/or HR Management in public health (advantageous).
  • Skills: Reading, confidentiality, self-discipline, planning, organising, communication (verbal & written), computer literacy, flexibility, and teamwork.
  • Priority consideration will be given to EPWP participants or current/former MSD interns.

Competencies:

  • Knowledge of registry functions, filing systems, and data capturing.
  • Understanding of public service legislative frameworks.
  • Familiarity with storage, retrieval, and disposal procedures.
  • Ability to operate office and registry-related systems effectively.

Duties

  • Receive, register, and file HR-related documents and correspondence.
  • Maintain physical and electronic files in line with classification systems.
  • Allocate file reference numbers and perform regular spot checks.
  • Manage incoming/outgoing files, including franking machine operations.
  • Process documents for archiving, disposal, and prepare files for storage.
  • Retrieve and provide files for HR staff, audits, and investigations.
  • Provide counter services and assist staff with registry-related requests.
  • Ensure safe custody of all records and files.
  • Assist with departmental audits and maintain audit trails.
  • Perform administrative tasks, including data capturing and operating office equipment.
