Requirements:
- A Grade 12 Certificate (NQF Level 4) or equivalent qualification.
- No prior experience required.
Skills and Competencies:
- Bilingual with excellent verbal and written communication skills.
- Computer literacy with proficiency in all MS Office applications.
- Strong time management, organisational, and problem-solving skills.
- Good interpersonal and negotiation abilities.
- Professional telephone etiquette and attention to detail.
- Knowledge of financial and personnel administration.
- Ability to manage sensitive information with tact, discretion, and reliability.
- Analytical and innovative thinking skills with a focus on accuracy and efficiency.
Duties:
The successful candidates will be responsible for providing comprehensive secretarial and administrative support to the Director. Key responsibilities include:
- Managing the Director’s diary, scheduling meetings, and coordinating appointments.
- Handling telephone calls, correspondence, and inquiries efficiently.
- Preparing, typing, and formatting documents, memoranda, letters, and reports.
- Taking minutes during meetings and ensuring accurate record-keeping.
- Handling and safeguarding classified documents and files.
- Making travel and accommodation arrangements and processing related claims.
- Coordinating meeting logistics, including venue bookings, refreshments, and documentation preparation.
- Managing office supplies, photocopying, scanning, and email correspondence.
- Operating office equipment and maintaining updated knowledge of departmental policies and procedures.
- Coordinating logistics for visitors and liaising with internal staff and external stakeholders on behalf of the Director.
- Maintaining an efficient filing system and ensuring proper document flow and control.
This role requires a proactive, organised, and professional individual capable of managing multiple administrative tasks while maintaining confidentiality and accuracy in a dynamic environment.
