Requirements:

  • National Senior Certificate (Grade 12) and an NQF Level 6 qualification or equivalent in Records Management or a related field.
  • A valid driver’s licence will be an added advantage.

Skills and Competencies:

  • Strong verbal and written communication skills.
  • Knowledge of the National Archives and Records Services Act and Minimum Information Security Standards (MISS).
  • Familiarity with records management policies, procedures, and manuals.
  • Understanding of legislative frameworks related to records management, such as the Promotion of Access to Information Act (PAIA).
  • Ability to work independently and under pressure.

Key Responsibilities:

  • Safeguard current, closed, and terminated departmental records.
  • File and retrieve records in compliance with the National Archives Act and other applicable prescripts.
  • Ensure adherence to all relevant legislation and records management standards.
  • Develop and maintain all registers used by the registry.
  • Oversee the proper control, custody, and tracking of departmental records.
  • Deliver efficient and effective registry services to both internal and external clients.
  • Implement records management policies and procedures.
  • Ensure correct use of the departmental file plan, indexing, and referencing of documents.
  • Recommend records for archiving or disposal as required.
  • Handle all incoming and outgoing mail.
  • Assist in compiling reports related to records management activities.
