Overview
iBridge Contact Solutions is seeking an Executive Assistant & Operations Apprentice to support the Executive Leadership Team within a fast-paced BPO environment. This hybrid role combines executive support, research, data analysis, reporting, and operational tracking. The successful candidate will gain broad exposure to business operations, analytics, and leadership functions, with strong growth potential into operations, business development, or management roles.
Key Responsibilities
Executive Support
- Manage executive calendars, meetings, and follow-ups
- Prepare agendas, minutes, and track action items
- Coordinate local and international travel arrangements
- Handle confidential information with discretion
- Provide support for urgent or after-hours requirements
Research & Operational Improvement
- Conduct research to identify best practices and process improvements
- Prepare actionable insights and reports for leadership
- Support implementation of operational initiatives
- Track performance impact and ROI of improvements
Data Analysis & Reporting
- Analyse business data (sales, QA, retention, SLAs, campaign metrics)
- Develop dashboards, Excel reports, and presentations
- Maintain trackers, logs, and audit documentation
- Provide insights to support decision-making
Business Development Support
- Assist with research, proposals, and client engagement preparation
- Support pipeline tracking and new client onboarding
- Maintain expansion and capacity planning trackers
Project & Operations Tracking
- Monitor leadership initiatives and project timelines
- Maintain SOPs, workflow documentation, and issue logs
- Track compliance actions and deliverables
Stakeholder Coordination
- Liaise with internal teams, clients, and vendors
- Prepare executive-level communication summaries
- Represent the Executive Office professionally
Requirements
- Matric (essential)
- Diploma or Degree in Business Administration, Operations, Data Analysis, or related field (advantageous)
- 1–2 years’ experience in administration, coordination, research, or analytics (advantageous)
- Strong Microsoft Excel and PowerPoint skills (essential)
- Understanding of BPO metrics (AHT, QA, SLAs, occupancy, dialer systems) advantageous
- Strong analytical, organisational, and communication skills
- High attention to detail, professionalism, and confidentiality
- Ability to work under pressure in a fast-paced environment
